Copying & Pasting Cell Content Along with Formatting and Without Formatting

To Copy and Paste cell content along with formatting Excel has the Paste Special option. This option is used to paste the specific cell contents or features such as formats, formula or comments.

When we prepare any data sets / Reports a format play key role to represent the data.

Let’s take an example to understand that how we can copy and paste cell content along with formatting.

We have working hour’s calculator sheet. In which we are having formulas, formatting, and comments.

To learn about that how we can copy and paste the formatting from a cell or range to another cell or range.

Follow below mentioned steps:-

  • Select the cell from where you want to copy and paste the formatting from one cell to another cell or range.
  • Press the key Ctrl+C on your keyboard.

  • Select the range where you want to paste the only formatting.
  • Right click with the mouse, the popup will appear.
  • Click on Paste Special.

  • Paste Special dialog box will appear.
  • Click on Formats and then click on ok

  • Format will be paste at selected area.

Another option we have Format Painter. We can use this option to copy the formatting of one cell and paste into other cell or range.

Follow below mention steps:-

  • Select the cell from where you want to copy and paste the Cell content.
  • In the Home tab click on Format painter in the Clipboard group.

  • The cursor will become a paint brush.
  • Then drag the cursor to your desired cell which will be selected and when we release the mouse, the entire format will be pasted.

  • We can also use the keyboard shortcuts and press Alt+H+FP. The format painter option will be selected and then we can carry out formatting our cell accordingly.

Note: We can copy and paste the formatting from one cell to the range but we cannot copy and paste the cell content from one cell to range.

To copy and paste the cell content without formatting follow below mentioned steps:-

  • Select the cell from where you want to copy and paste the Cell content.
  • Press the key Ctrl+C on your keyboard.
  • Select the cell where you want to paste the content.
  • Right click with the mouse, the popup will appear.

Click on Paste Special.

  • Paste Special dialog box will appear.
  • Click on Values and then click on ok.
